What data we collect

We may collect the following information:

  • Contact and quick-quote form submissions: your name, email address, phone number (optional), and message content (including your area of interest) when you use our contact form or quick-quote form.
  • Pricing calculator submissions: your name, email address, company name (optional), and the project details you select (such as service type, scope, and timeline) when you request an estimate. We use these details to prepare your quote and follow up about your enquiry.
  • Chatbot conversations: if you use our website chatbot, we process the messages you send (which may include personal information you choose to type), along with technical data such as your IP address, browser user agent, and referring page, to respond to your enquiry and to monitor and improve the service.
  • Click-to-call activity: when you click a phone number on our site, we may record technical metadata such as the page you were on, your browser user agent, and the referring page so we can understand how visitors use our contact options.
  • Analytics data: usage data such as pages visited, referral source, and device type. We use self-hosted Plausible Analytics and Google Analytics 4 via the Google tag for Google Ads campaign measurement and conversion attribution.
  • Server access logs: when you visit our website, our servers and infrastructure may record connection metadata such as your IP address, browser user agent, referring page, and approximate country (via CDN headers) for security, delivery, and troubleshooting.

Cookies and tracking

When you first visit our website, we show a cookie consent banner. Your choice is stored in a first-party cookie (mw_cookie_consent) so we can remember your preference. You can change your choice at any time using "Cookie settings" in the footer.

We use two analytics tools, which behave differently:

  • Plausible Analytics (self-hosted): we run Plausible on our own infrastructure to understand how visitors use the site. Plausible does not use cookies and does not collect personally identifiable information by design, so it does not require your consent.
  • Google Analytics 4 and Google Ads: if you accept non-essential cookies, we load the Google tag to measure website usage and attribute conversions from our Google Ads campaigns (including contact form submissions). Google may set cookies or use similar identifiers on your device for these purposes. If you reject non-essential cookies, Google Analytics and Google Ads are not loaded.

Our chatbot may store your conversation state in your browser's localStorage so you can continue a conversation during your visit. This data stays on your device unless you clear it.

Our site uses a service worker for progressive web app functionality (such as caching pages for faster loading). This is not used for marketing or advertising tracking.

If you previously accepted Google cookies, you can reject non-essential cookies via Cookie settings to stop Google from loading on future visits. Existing Google cookies may remain in your browser until you clear them. You can also control Google Analytics and Google Ads cookies via your browser settings or Google's opt-out tools. Essential site cookies (including your consent preference) are used only for core functionality.

How we use your data

  • To respond to your enquiries and provide our services
  • To prepare quotes and estimates (including pricing calculator), and to keep a record of your enquiry so we can follow up about your project
  • To respond to chatbot messages and improve our chatbot service
  • To understand how visitors use our website (via Plausible and Google Analytics) so we can improve it
  • To measure the performance of our Google Ads campaigns and attribute conversions (such as contact form submissions)
  • To monitor site security, troubleshoot issues, and maintain reliable delivery of our website

We do not sell, rent, or share your personal data with third parties for their own marketing purposes.

Data retention

  • Contact, pricing, and chatbot enquiry data: retained for as long as necessary to fulfil your enquiry and any resulting business relationship.
  • Server access logs: retained for a limited period for security and troubleshooting, then deleted or anonymised.
  • Analytics data: Plausible stores anonymised aggregate data; Google Analytics retention follows Google's configured settings (see Google's documentation).

Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Withdraw consent at any time
  • Lodge a complaint with the Information Commissioner's Office (ICO)

Third-party services

We use the following third-party services that may process data on our behalf:

  • Plausible Analytics (self-hosted, cookie-free analytics) - Plausible Data Policy
  • Google Analytics / Google Ads (website usage measurement, campaign performance, and conversion attribution) - Google Privacy Policy
  • Email delivery (Amazon SES): contact and enquiry form submissions are delivered to our team via our email service (sent through Amazon Simple Email Service) so we can respond to you.
  • Discord: we receive internal notifications (including enquiry details such as name, email, and enquiry type, or click-to-call metadata) so our team is alerted to new activity.
  • n8n: we use a self-hosted automation platform to process pricing calculator and chatbot submissions (including chatbot messages and IP address) and route them to our team.
  • Scaleway AI: when our chatbot generates AI replies, your messages are processed by Scaleway's AI infrastructure to produce a response.
  • Scheduling portal: if you book a meeting via links on our site, you are directed to our separate scheduling portal at portal.mallinsonandwright.com, which processes your booking details under its own flow.

Our website infrastructure (including CDN and proxy services) may also process connection metadata such as IP addresses for security and reliable delivery of the site.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
